551 Information Processing [Course Page]Business Letter Unit Instructions Block format should be used for Personal Business and Business letters. This means that all lines of the letter should begin at the left margin. 1. Set a two-inch top margin and one-inch side and bottom margins. 2. Key the return address (two lines--street address and city/state/zip) and then single space (SS). Space once between the state abbreviation and the Zip code. Key the month (spelled out), the day, and the year in the date line. 3. Key the inside address a quadruple space (QS) below the date. The inside address of the letter contains the name, title, company name, and address of the addressee (the person to whom the letter is written). 4. Key the salutation a double space (DS) below the inside address. The salutation usually begins with Dear and contains a courtesy title and the addressee's last name (for example Dear Mrs. Hayes). For open punctuation, do not key a colon after the salutation. 5. Single space (SS) the body of the letter, and do not indent the paragraphs. DS between paragraphs. Use wordwrap to determine line endings. 6. Key the complimentary close a DS below the body. For open punctuation, do not key a comma after the complimentary close. 7. Key the originator's name (the person who wrote the letter) a QS below the originator's name. Body Text 3 |
